1. Who we are

Rig & Rail 4WD Fitout is a vehicle fitout workshop trading from Mountain Street 78, 2007 Sydney, New South Wales. You can reach us on +351 924 356 755 or at bay@rigandrail4wd.online. We are the entity responsible for the personal information described in this policy.

2. What we collect

• Contact details — name, email address, phone number and, where relevant, a billing address.
• Vehicle and build details — make, model, year, registration, load-area measurements, existing accessories and the spec sheet we prepare for you.
• Transaction records — quotes, invoices, deposits, warranty claims and service history. Card payments are processed by our payment provider; we do not store full card numbers.
• Enquiry content — what you write in our build brief form, email or messages, including trip plans you choose to share.
• Website technical data — standard server log information such as IP address, browser type, pages requested and date and time of the request.

3. Why we collect it

We use personal information to quote and carry out work, to build the correct system for your vehicle, to book bay time, to invoice, to honour warranty obligations, to keep service records required for workmanship claims, and to answer your questions. If you ask us to, we will also send occasional workshop updates; you can opt out at any time by replying to any message or calling us.

4. Website form

The build brief form on our contact page sends the details you enter to our workshop mailbox. We only ask for what we need to prepare a spec sheet. There is no requirement to provide your phone number or trip date; without your email address or vehicle details we cannot respond usefully.

5. Cookies and analytics

This site does not set advertising or tracking cookies and does not build behavioural profiles. Our web server keeps short-lived access logs for security and troubleshooting. Web fonts are requested from Google Fonts, which means your browser contacts that service to download the typefaces. You can block third-party fonts in your browser settings; the site remains fully readable.

6. Who we share information with

We do not sell personal information. We disclose it only where necessary: to component suppliers when processing a warranty claim on your behalf, to our accountant and payment provider for invoicing and tax records, to our IT and email hosting providers, and to a third party where you have asked us to coordinate work (for example a canopy or trailer manufacturer). Where a provider stores data outside Australia, we take reasonable steps to ensure comparable protection applies.

7. How long we keep it

Quotes that do not proceed are deleted within twelve months. Job records, spec sheets and invoices are kept for at least seven years to meet tax obligations and to support our three-year workmanship warranty and any later dispute. Marketing consent records are kept for as long as you remain subscribed.

8. Security

Digital records are held in access-controlled, password-protected systems with multi-factor authentication on email. Paper job sheets stay in the workshop office and are shredded once digitised. Only the fitters and office staff working on your job can see your file.

9. Access and correction

You may ask for a copy of the personal information we hold about you, or ask us to correct it, by phoning +351 924 356 755 or emailing bay@rigandrail4wd.online. We will respond within 30 days. We may ask you to verify your identity before releasing records, and we will explain in writing if we are unable to provide access.

10. Complaints

If you believe we have mishandled your personal information, contact us first and we will investigate and respond in writing, normally within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

11. Changes to this policy

We review this policy when our systems or obligations change and publish the current version on this page. Material changes affecting existing customers will be communicated by email where we hold a current address.
